Terms and Conditions

To book any type of trip with us, you should provide a photocopy of your passport, photos and a 15% deposit of the total cost of the trip to us through your preferred payment mode. The remaining due can be paid upon your arrival in Kathmandu prior to trip departure (trek/tour).

The following are Terms and Conditions that govern the legal relationship between you (client) and Glorious Himalaya Trekking (P) Limited, Registered Company Number: 79305/067/068

Porter Weight Limit

Porters play a big part in making your trip more comfortable and enjoyable. However, they are humans too! So, please note, the limit for what a porter can carry on any trip is 20kg. It does not matter a bit less or extra weight. Your porter further has to carry his own bag of 4-5 kgs extra. So, Please thoughtfully decide what you intend to bring on the trek with you. The hotels and lodges will also offer the service of a luggage storeroom so you may leave any non-required items of clothing, footwear, and personal items in a spare bag with them.

-For the payment by Credit Card, please contact us or send an email. Please keep in mind that we only accept Visa or MasterCard and a 4% levy, will be added for card processing fees on top of the package bills because of the commission at Bank.

Final Payment: 

All major currencies (USD, EURO, GBP, SGD, CAD, AUD,) are accepted at the exchange rate on the day of payment.

All trip costs are shown in USD. If you pay online your credit card company will determine the actual exchange rate.

Please note that we discourage final payment by credit or debit card because this incurs an additional 13% bank fee that we have not included in the cost of your trek. Thus, we suggest you pay the remaining payment in cash instead of by card or bank transfer.

Trip Cancellation Policy

We understand that sometimes things happen and plan change which leads the client to have to cancel their trip. Therefore we have positioned some policies in place. As such, a notice of cancellation shall be submitted by the client by mail with an authentic reason(s), and then the refund procedure will be made as follows:

  1. For cancellations made less than 45 days prior to the departure date, 20% will be deducted from the total amount of the trip. (minus any transaction fees).
  2. For cancellations made less than one month prior to the departure date, 30% will be deducted from the total amount of the trip. (minus transaction fees)
  3. If cancellation is made within a week of departure or upon arrival in Kathmandu we are unable to provide refunds. We book all the hotels, flights, transports and tours in advance so we are unable to give refunds on such short notice. Our general advice is that if you need to change plans please alert us as quickly as possible. We rather recommend you postpone your trip against canceling it.

In case of refunds, we will process this immediately, though it might take 10 to 15 days for the process to go through the bank. Please be patient. 

Trip Postponing or transferring Policy

  • Written notice should be sent to us 30 days prior to the trip departure date.
  • $100 will be charged to postpone the Nepal trips and 50% of the total amount will be charged if you postpone the Tibet trips.
  • You can transfer your booked slot for the trek to any fit person till 30 days before the trek. You just have to mail us the request and the rest we will handle. The new person has to get all the mandatory documents duly signed for the trek.

Incomplete Trip or Early Return

Occasionally, it is sometimes the case that trekkers finish ahead of schedule or return early from their trip for a variety of reasons. In these cases, payments are non-refundable because we are obligated to pay our guides and porters for the number of original days booked.

Last Minute Booking

We also accept last-minute bookings. You can book a trip to Nepal a day before the trip departure dates. However, in the case of the Everest Region, especially during the peak seasons we suggest booking your trip at least a week prior, mainly because of the flight bookings. We may not be able to accept last-minute bookings in the case of the Tibet trip.

Travel Insurance

We strongly encourage our clients to have comprehensive travel insurance that covers all the medical expenses, emergency helicopter evacuation, personal accidents, medication, natural distress, loss or damage to gears/baggage or other personal belongings. We suggest that you check your insurance policy and ensure that they will cover all costs upfront in any such cases mentioned. Some insurance policies will cover trip interruptions. Such policy is helpful in the occasion your Lukla flight is canceled and you end up having to book a helicopter or even have to rebook your international flight. Our team will assist you in obtaining any documentation requested by your insurance provider. You must make sure to mention all of these items and terms to your insurance provider to assure you get the appropriate coverage. It is mandatory to get a hospital report in Nepal as soon as you get discharged from the hospital if you want to make an insurance claim. Oftentimes, trekkers with altitude sickness feel better once they get to a lower elevation, but it’s important to get the proper medical documentation for claims. The hospital will charge you a fee for the medical report required by your insurance.

Note: If you are attempting to climb one of the trekking peaks, your insurance policy will also need to cover “climbing” as an activity.

Glorious Himalaya Provides insurance for (and only for) our guides and porters.

You are responsible for any evacuation or medical bills that are incurred in Nepal. Therefore make sure all such events are covered by your insurance provider.

Domestic/International Flight Delays and Cancellation 

Please note that the weather in the Himalayas is always unpredictable. Flight delays and cancellations are much more common and aviation schedules are not as reliable as you might expect.  It can be delayed for some hours or even be canceled for the whole day. Should there be any delays or cancellations of flights, the client is liable to bear the cost of any additional meals and nights in a hotel. However, flight tickets purchased will be fully refunded in such a case of weather conditions. Therefore, it is advisable to carry some extra money for additional meals and accommodation.

If you choose to take the helicopter service, this will cost you an extra charge depending upon the area, group size, and availability.

Furthermore, Glorious Himalaya Trekking does not retain any responsibility for costs incurred as a result of a missed international flight but would assist to make alternative arrangements wherever possible. Please also note that while on the field, we may have to make some changes in the itinerary due to unforeseen events to prevent such circumstances.

We always recommend our clients to add at least 2 or 3 extra days to the end of your trip. This will give you some flexibility in the case of any interruptions so that you will not have to miss your international flight.

Unforeseen Contingencies

In case, your trip gets canceled due to any unanticipated circumstances such as natural catastrophes, adverse weather conditions, crises, political unrest or war, consequently, we will re-arrange your next trip as soon as possible. Regardless, it may not be your chosen trip, but certainly, your hard-earned money will not get fruitless.

Assumption of risk

It is crucial for the traveler/trekkers to assume certain risks and dangers associated with the journey. This includes illness or accidents in remote places without medical centers, theft or damage to the baggage, cancellation of flights, delays, breakdown of vehicles, natural disasters, and any other personal effects, ending trekking earlier in any case. The traveler/ trekker agree that no liability will be attached to the company, its employees or agents, or to any member of the trip in respect to personal injury, death, illness or delay of trekker, or for any loss or damage to the property of the traveler/trekker during the trip, however, caused. Any extra expenses have to be borne by the clients themselves. Therefore, travel insurance is highly advisable.

Addition Charge

The guides, porters, and accommodation provided on trekking and tour packages by GHT are given on a twin-sharing basis.

Thus, a single supplement charge will be required for a client who does not have another tour member to share a guide, porter, or room with others. Also, an additional charge that does not include in the agreement of booking between the client and the company.

Price Changing 

Ostensibly not, though in some reasonable cases, such as the events of radical change in the exchange rate, inflations or government acts, we might be obliged to make changes in under these circumstances. But the probable occurrence of such cases is barely minimum.

During the Trip

Any traveler causing embarrassment or distress to any other travelers could be subject to the discontinuation of a trip for hindering the serenity of the trip. You must respect the culture and etiquette of the local people. In the event, you commit any unlawful act during your trip, GHT is not answerable to any liability caused.

Complaints

Should you have any subject of a complaint about the trip, please notify the leader or guide at the earliest and provide us an opportunity to correct them.
